Warehouse Management Core Process

Warehouse is the bank of a factory; poor management wastes capital. Implementing a clear SOP across the whole workflow dramatically improves efficiency.

1. Receive (Accurate Inbound)

Accurate inspection of quantity, quality, and specifications against purchase orders.

Assign a unique code to each item for traceability.

Follow four principles: single‑item match, single‑cargo match, strict quality control, complete documentation.

Prioritize based on item type, quantity, and urgency; use a Warehouse Management System (WMS) for automatic reminders.

2. Store (Scientific Placement)

Clear labeling and zoning are essential after inbound. Apply the ABC classification:

A : few items, highest value – store in a gold zone with strict control.

B : moderate quantity/value – store in a regular zone with moderate control.

C : many items, lowest value – store in edge zones with looser control.

Set safety stock and maximum limits based on sales data and procurement cycles; automatic alerts trigger replenishment when thresholds are reached.

3. Ship (Efficient Outbound)

Key steps include:

Order processing – define receipt, sorting, packaging, loading.

Fast picking – use advanced picking systems to locate items quickly.

Packaging – choose appropriate materials, special packaging for fragile goods.

Quality check – verify items meet quality standards before dispatch.

4. Inventory (Regular Counting)

Conduct full inventory monthly or quarterly. Use barcode scanning to generate inventory records, compare with existing data, and automatically calculate discrepancies. Create inventory adjustment documents to correct any differences.

5. Standards and Safety

Leverage WMS to view real‑time inventory data, turnover rates, and generate comprehensive reports. Implement safety standards for personnel (pre‑job training, certifications, safety belts), goods (load limits, proper packaging, insurance for valuables, separate storage for hazardous materials), and environment (fire prevention, anti‑theft systems, moisture control).

Apply the 5S management principle:

Seiri (Sort) : remove unnecessary items.

Seiton (Set in order) : arrange items by usage frequency.

Seiso (Shine) : keep the workspace clean.

Seiketsu (Standardize) : establish cleaning standards.

Shitsuke (Sustain) : cultivate disciplined habits.
